Optibus Launches Digital Vacation Bidding to Answer Bus Driver Demands for Self-Service Time-Off Control

Digital Vacation Bidding replaces decades-old, paper-based bids that drain time and spark disputes, answering the vast majority of bus drivers seeking mobile self-service tools.

The problem: decades-old, paper-bound vacation bidding

The vacation bid is one of transit's highest-stakes, most-disputed annual HR processes — and nearly half of North American agencies still run it using printed sheets, phone calls, and union-managed lists. Since paper lists only update when someone manually revises them, floater days that open up mid-bid often go unclaimed before the next posting catches up. With no auditable record of who picked what and when, disputes surface months later.

The process is just as bad for pick managers, who spend hours reconciling entitlements by hand. One transcription error or outdated seniority record can trigger a miscalculated pick, and correcting it after the fact often escalates into a union dispute.

Workforce pressures raise the stakes. 85% of US transit agencies have a bus driver shortage (APTA) and annual turnover is as high as 30%. Unfair scheduling is a catalyst for turnover, making drivers 6x times less likely to stay (Optibus's 2026 State of Bus Driver Retention report). It’s a costly issue: each driver's departure totals $10,000–$30,000.

 

A solution beyond paper: the entire annual pick, inside the platform

Vacation Bidding brings the full annual vacation selection process into Optibus, covering pick manager setup in Operations and the driver-facing experience in the Driver Portal.

The feature is tailored for seniority-based annual vacation bids and integrated with the same Pick Cycles and Driver Cards used for roster and hybrid bidding, eliminating the need to maintain a separate, parallel system.

There is significant demand for this shift: In an Optibus report, 84% of drivers said a scheduling and payroll app would be valuable, with demand highest among veteran drivers with 15+ years of experience (93% vs. 73% for drivers with 4-8 years).

  • Log the who, how, when, and what of every pick change (whether by a driver in the Driver Portal or a manager in Operations)
  • Remove ambiguity and union grievances after a bid closes with automated entitlement and quota enforcement
